Organization of business meetings with MICE and business travel agencies

The five-star boutique Hotel Polye is located in a picturesque birch grove by the Nerl River, just 15 minutes from the center of Suzdal. The hotel's infrastructure includes 27 spacious cottages with panoramic windows and premium equipment, an author's cuisine restaurant, an equipped beach on the river, a fitness center, a conference room, outdoor event areas, a 600-hectare eco-territory with walking trails, and a guarded parking lot. The hotel's concierge service organizes individual and group excursions, workshops, helicopter rides and other types of recreation according to any request of the guests.

BRIEF

As part of the "Sales representative" package, the SEA Company sales department is engaged in sales of the new hotel, which opened in early 2026, among various segments of B2B customers. After forming a presentation and sales strategy, it is necessary to give a powerful and rapid breakthrough in corporate sales in order to increase workload during the off-season and weekdays.

SOLUTION

The classic package "Organization of business meetings" (sales call) with representatives of the largest MICE, business travel and wedding agencies in Russia in April 2026 was chosen as one of the most effective tools for implementing the tasks set. The purpose of the sales-call is to present the hotel's capabilities for hosting off–site corporate events: conferences, round tables, team-building events, corporate parties, weddings, etc.

REALISATION

A preliminary market analysis was carried out in order to identify potential corporate customers relevant to the region of the hotel location.

12 meetings were organized and held within 3 working days with the largest MICE and business travel agencies, including: MaxiMice, D-MICE, BSI Travel, Demlink, UTS, RUSMICE, Larnilane, Aeros, KPM, Vip Corporate Travel, ATH, GTSBIT.

Following the meetings, all the necessary presentation materials of the hotel were prepared and sent.

RESULTS

All qualitative KPIs of the project were fulfilled in full, the SEA Company sales department team prepared a detailed report based on the results of the meetings with preliminary agreements and direct contacts of all B2B partners, and an email correspondence was initiated on the details of cooperation.

During the presentations, 7 requests were received for corporate events with the rental of venues and accommodation for 15 to 100 people, and 1 request was confirmed with the complete closure of the hotel.

FAM trips to the hotel by decision makers have been initiated in order to personally familiarize themselves with the hotel's infrastructure. As a result of the visits, 3 requests for corporate events were received and confirmed, including those with the complete closure of the hotel for the group.
